US mortgage files can feel overwhelming at first. A simple workflow helps you understand what is happening in the file and what your “next action” should be as a VA.
This starter course uses a 3-step simplified flow:
Loan Setup → Loan Registration → Loan Processing.
Goal: Collect and organize borrower information and initial documents so the file is complete for review.
Typical VA tasks: Document intake, checklist review, basic completeness checks, file organization, requesting missing items.
Goal: Enter the loan into the lender/investor system and submit the file for underwriting review.
Typical VA tasks: Uploading documents to portals, double-checking required fields, confirming the file is submitted, tracking submission status.
Goal: Manage missing items and conditions, follow up for updates, and move the file toward closing.
Typical VA tasks: Conditions tracking, follow-ups, collecting updated docs, status updates to LO/processor.
Use this 3-question check on every file:
What stage is the file in right now (Setup, Registration, or Processing)?
What is the next action needed to move it forward?
What should I flag to the LO/processor before this moves to the next stage?
Label each scenario as Loan Setup, Loan Registration, or Loan Processing:
Borrower sent initial documents. The team needs the file organized and key information reviewed for completeness.
The file needs to be entered into a lender portal and submitted for underwriting review.
The underwriter issued conditions and the team needs follow-ups and document updates.
